Make-up sessions

Policy summary

Professional development sessions will be made up with individuals or small groups only in the event of personal or dependent family member illness, verifiable conflict with required school activities or other significant hardship. This policy also applies to subcontractors and consultants authorized to provide eMINTS professional development

Policy statement

Professional development sessions will be made up with individuals or small groups only in the event of personal or dependent family member illness, verifiable conflict with required school activities or other significant hardship. Participants who choose to sponsor after-school activities or to coach should not expect that professional development sessions will be made up.

Make-up sessions shall not exceed the time allowed for the actual session that is being made up. Full-day sessions may be made up in sessions not to exceed four hours. Make-up sessions for full-day sessions for teachers will not result in hours credited for report to schools or districts regardless of when the session occurs. This is because full-day sessions are not credited on district reports of teacher contact hours outside of contract hours for the payment of stipends.

Additional information

  • Requests for make-up sessions should be submitted to eMINTS staff, subcontractors or consultants via e-mail. Requests are then forwarded to the AIS for approval (teachers) or the eMINTS staff member responsible for the PD4ETS program (PD4ETS participants). Staff should receive approval before final scheduling of make-up session.
  • Sessions devoted to “collaboration” will not be made up.
  • Meals will not be provided for eMINTS staff, subcontractors, consultants or participants during make-up sessions unless the session is a make-up for the entire group due to eMINTS staff member, subcontractor or consultant illness or weather-related cancellation.
  • Make-up sessions are limited to two sessions per person for each semester the participant is in the program, unless prior approval is obtained from eMINTS program leadership.
  • In the event of eMINTS staff, subcontractor, or consultant illness or cancellation of the session due to weather or other conditions, a make-up session will be scheduled with the consent of all participants involved. A meal will be provided in this instance.
  • Sign-in sheets for make-up sessions should be generated using the same template as used for regular professional development sessions. The sign-in sheets must specify the session for which the make-up session is being provided. Do not use the word “make-up” in the title of the sessions; simply name the session the same name as the regularly scheduled session. The sign-in sheets for make-up sessions must be forwarded to the eMINTS Office at the end of the week in which the make-up session occurred.
  • If at all possible, make-up sessions should be held during the quarter the sessions being made up occurred.
  • Make-up sessions are not the same as Individual Sessions. Make-up Sessions cannot be used to circumvent the limits placed on Individual Sessions. See Individual Sessions for eMINTS Participants policy.
